Understanding when visitors receive their access credentials is important for planning visits and ensuring smooth check-ins. QR codes for visitor access are generated and distributed on a specific schedule to maintain security while providing convenience
QR Code Generation and Delivery
24 Hours Before the Visit
The system automatically generates and sends the visitor's QR code 24 hours before the scheduled visit start time.
What the visitor receives:
- A second email containing their unique QR code
- Options to add the QR code to Apple Wallet or Google Wallet
- Reminder of visit details (date, time, location)
- Instructions for check-in
Example: For a visit scheduled for December 10th at 2:00 PM, the QR code email will be sent on December 9th at 2:00 PM.
Why 24 Hours?
This timing balances security with convenience:
- Security: QR codes aren't active for extended periods
- Convenience: Visitors have time to save the code and prepare
- Flexibility: Enough time to address any delivery issues before the visit
Troubleshooting
Visitor Didn't Receive QR Code Email
24+ hours before visit:
- Check spam/junk folders
- Verify the correct email address was entered
- Host can resend the invitation from the Cohesion platform
- Contact building management or the host
Less than 24 hours before visit:
- The QR code may not have been generated yet
- Wait until 24 hours before the scheduled time
- If still not received within 24 hours, contact the host
QR Code Not Working at Check-In
- Verify you're within the scheduled visit time window
- Try increasing screen brightness if scanning from phone
- Show the QR code to security/reception for manual verification
- Contact your host for assistance
Visit Changed After QR Code Was Sent
- If visit details change (time, date, location), a new QR code will be sent
- The host will need to edit the visit
- You will receive a new QR code email
- Old QR codes may be deactivated
